This Privacy Policy relates to information which is obtained by Reaching the Unreached and for which Reaching the Unreached is the Data Controller.    

Why we hold and process supporters’ personal data

  • To keep a record of donations made by our supporters
  • To keep a record of our communications with our supporters
  • To claim Gift Aid on donations
  • To send our supporters information about our work, fundraising activities and appeals where we have their consent or are otherwise allowed to
  • To ensure we do not send unwanted information to those who have informed us they do not wish to be contacted by us

Reaching the Unreached will only contact you to keep you up to date about its work, or to tell you about how you can support that work, provided we have your consent or we are otherwise allowed to do so, for example on the basis of legitimate interest based on your existing relationship with us.

We will not send you information if you tell us that you do not wish to receive it. 

You can update or withdraw your consent at any time, for individual channels of communication, or for all channels.

The information we collect

We only collect personal data that is relevant to the type of transactions you have with us.

When you contact Reaching the Unreached to make a donation, or you telephone, email or write to us, or engage with us via social media channels, we may receive and retain personal information about you.

Depending on your reason for contacting us, we may collect details such as your name, postal address, e-mail address, telephone or mobile number.

We may also collect payment details to process donations together with information about whether or not you are a taxpayer to enable us to claim Gift Aid. 

All personal data is stored on a secure database, which only a limited number of individuals can access. It is deleted when it is no longer relevant, is never shared with third parties, and is available to you on request at any time.

How we use your personal information

Reaching the Unreached will use your personal information as follows:

  • to process donations
  • to administer donations, e.g. to check payment details; to confirm your tax status with regard to Gift Aid
  • to confirm receipt of donations, to thank you and to provide details of how your donation might be or has been used
  • in relation to correspondence you have entered into with us by any offline or online channel
  • to enable us to maintain a record of your relationship with us
  • to keep your data up to date
  • to implement any instructions you give us with regard to withdrawing your consent to send you information
  • to send you information about our work and the ways you can support us

 Data security

We ensure that there are appropriate controls in place to protect your personal details.  

Our online forms are always encrypted and our Donor Strategy database is held on secure servers. 

We strictly control who has access to the personal information we hold. Our database is only accessible by approved staff, contractors and suppliers.

We sometimes use external companies to process personal data on our behalf. We check the security practices of these companies before we work with them, and put contracts in place that set out our expectations and requirements, especially regarding how they manage the personal data they collect on our behalf, or have access to.  

Sharing information with others

We will only use your information within Reaching the Unreached for the purposes for which it was obtained. We will not, under any circumstances, share your personal data with any third party organisation or sell it to them for their own marketing purposes, and you will not receive marketing communications from any other companies, charities or other organisations as a result of giving your details to us.

Legal requests

We will comply with legal requests where disclosure is required or permitted by law (for example to government bodies for tax purposes or law enforcement agencies for the prevention and detection of crime, subject to such bodies providing us with a relevant request in writing).

Processing within the area of jurisdiction

Countries outside the European Economic Area have differing approaches to data privacy laws, and enforcement may not be as robust as it is within Europe’s borders. 

Please be aware that if you are a donor to one of RTU’s sponsorship programmes, some of your personal data will be shared with RTU personnel in India to enable us to run these programmes. The information shared does not include donors’ financial details and is only ever shared for defined purposes, namely to send you information about the person you sponsor or to provide programme updates directly from India.

The length of time we retain your personal information

We will hold your personal information on our systems for as long as it is necessary for us to carry out the relevant activity you requested and to which you consented. For example, we will keep a record of donations subject to Gift Aid for at least seven years to comply with HMRC rules. 

If you ask us to stop contacting you, we will keep a record of your request along with your details to enable us to comply with your request over time. 

Your communication preferences

We want to ensure that we are able to communicate with you according to your preferences, and to provide you with information that is of interest to you.

As from 25 May 2018, under the General Data Protection Regulations, RTU claims legitimate interest as per GDPR Article 6(1)(f). This permits the organisation to continue to contact its supporters by post.
